Carnie Smith Stadium Event Private Party Policy

Private party policy pertains to the area east of the Brown parking lot and immediately north and south of the hike and bike trail going from the stadium to the Weede building.

I. Scheduling the Party

Pittsburg State University allows groups or individuals to host private parties at dedicated spaces on the game day of home football games and other events taking place at Carnie Smith Stadium. The dedicated spaces for private parties on the date of a scheduled event are available east of the Brown parking lot and immediately north and south of the hike and bike trail going from the stadium to the Weede building.  Using the dedicated private party space requires an obtainable guest list.  No one can tailgate in this area unless it is pre-approved.  Spaces are reserved on a first-come-first serve basis by calling Alumni & Constituent Relations at 235-4763.  Spaces may be reserved after May 1 of the season year.  The reservation holder bears the risk of the scheduled event being cancelled or rescheduled to a different date.  If either of these occurs, the reservation is subject to cancellation regardless of the reason for the cancellation or reschedule.  A fee and deposit may apply for reserving a space.  Fee schedules, deposit schedules, and a map of available spaces are available at the office of Alumni & Constituent Relations located at 401 E. Ford Avenue.

II. Setting up the Party

There shall be a commercial tent and refuse containers (provided by PSU if available, otherwise host must provide) at each space housing the party.  The tent must be at least 18 feet wide and 20 feet in length and big enough to cover all invited guests.  Exceptions to the tent requirement may be made by Alumni Relations in advance of the event on a case-by-case basis.  The tent shall be set up at least 18 hours before the event and taken down within 48 hours after the event.  Because power lines are buried immediately off the north outer edge of the hike and bike trail, all tent stakes must be at least 15 feet away from the outer edges of the trail.  Table and chairs must be delivered four hours prior to game time and picked up no sooner than 1 hour after kick off, but not later than 1 hour after the game has ended.  Exceptions to the table/chair delivery requirements may be made by Alumni Relations in advance of the event on a case-by-case basis. The host is responsible for renting/buying, setting up, taking down, and removing the tent, tables and chairs and placing all trash from the party in the refuse containers.  No vehicles, other than delivery as approved by Alumni Relations, will be allowed on the hike and bike trail. Should the host fail to take down the tent or clean up trash, PSU employees will do it and the host will be responsible for all related costs to PSU.  In addition, the host will be prohibited from reserving a space the following year.  The host of the party shall post a sign on the tent that identifies its/him/herself.

III. Food and Drink at the Party

The host of a party may provide food or drink to the party invitees only.  Food or drink shall not be available to the public.  The host shall adhere to all applicable PSU policies including its policy on alcohol and tailgating.  For more information on PSU's alcohol policy, see www.pittstate.edu/pres/alcohol.html.

Items cannot duplicate those sold by vendors and/or Barnes & Noble Bookstore during game day. On reserved date, tents/spaces are distributed on a first come, first served basis and will be available at least 3 hours prior to game time.

III. Outside organizations/businesses

Outside organizations/businesses are allowed to reserve a tent/space on a first come, first served basis for home football games. Limited space is available, as determined by Alumni Relations.
