Policy on PSU Campus Directory Listing

Introduction

To better serve the campus a policy and procedure for the campus directory listing was created. The directory is modeled after the printed directory and contains all students, faculty and staff at Pittsburg State University. There are options for not displaying or partially displaying home information for faculty and staff. Students can authorize privacy holds on their records through the Registrar's Office as in the past. The directory is maintained as the most current information on people affiliated with Pittsburg State University. With the cooperation of the Registrar, Human Resource Services, Admissions, Continuing Studies, Alumni and all of the campus departments it will remain the basis of all electronic and print documents. The directory allows for robust search capabilities for employees and students. It is also constructed to find pertinent information on a given department with numerous alternate names to assist visitors in finding the department or person. The Directory is available on the campus Webpage under Search. It currently is limited to campus information on Faculty and Staff until proper notification of options for non-display is distributed.A notice will be on the directory pages citing the Kansas Open Records Act:

This directory is a public record. It is a violation of Kansas State Law to knowingly give, sell or receive names and/or addresses from a public record for the purposes of selling or offering for sale any property or service to persons listed therein. (KSA 45-220)

All information related to the workplace will continue to be maintained such as, permanent address, phone, spouse, etc. but, will be optional for display in the directory. Faculty and staff data is maintained by Human Resources, student information is maintained by the Registrar, and spousal and alumni information is maintained by Alumni . Article 15 of the Code of Student Rights and Responsibilities provides students an avenue for a "Privacy Hold" on any or all information identified. A similar system for Faculty and Staff is included in the policy document. Faculty and Staff are given the choice of what information will not be displayed in the directory. At a minimum the employee's name, department address, departmental phone and departmental email address will be displayed (example). In addition, professional data for unclassified will be maintained and can be displayed on additional print or web documents. Items included in the professional data will include such things as degree, institution the degree was earned, tenure earning, title, etc. Some departments already provide some of the professional information on the departmental homepages.

The upgrade and management of the directory information will be coordinated between the three offices identified (Human Resources, Registrar, Alumni Relations, and Information Systems) to ensure credible directory information.

ARTICLE 15. PRIVACY RIGHTS OF STUDENTS
The University from time to time publishes several bulletins, lists, brochures, catalogs, directories, yearbooks, annuals, guidebooks, news releases, sports information, honor rolls, etc., containing information that specifically identifies students and information about them.

The University is authorized to publish, and will publish such Directory Information, collectively or individually, unless a student within a reasonable time after the start of the semester notifies the Student Privacy Office (Registrar, 103 Russ Hall) in writing that any or all of the categories listed below (designated Directory Information) should not be released without prior written consent. The following information is considered Directory Information:

Student name
Address
Telephone listing
Parent and next-of-kin information
Hometown address
Date and place of birth
Full or part-time status
Marital status
Classification
Class schedule
Major and minor field of study
Student advisor
Dates of registered attendance
Nature of any degrees granted and dates conferred
Previous educational institutions
Participation in officially recognized activities and sports
Sports-weight and height of athletic team members
Awards received
Email address
Photographs (except for images gathered solely for student identification)
