Corporate Time (Oracle) Calendar

Corporate Time (or Oracle) Calendar helps you keep track of your day using your agenda, task list and address book.  You can create meetings, daily notes, day events and tasks as yourself or as a designate, and easily compare schedules with others using the group agenda.

In-tray

  • View and respond to events suggested by others
  • 4 folders
    • New Entries
    • Entries you’ve accepted
    • Entries you’ve sent out
    • Entries you’ve refused
  • Minimize window

Agenda Window

  • 3 views  (accessed by icons or View)
    • Day View – time panel, daily notes (bottom), task panel (right)
    • Week View – time panel, daily notes (bottom)
    • Month View – time panel, daily notes

Creating Event

  • 4 ways to create
    • Double click in time block
    • Drag to select time desired
    • Select icon (clock)
    • File / New / Meeting

  • Enter details
    •  Meeting name
    • Location
    • Set/adjust time (enter, arrows or sliding indicator)
    • Access and Importance
      • Default for each user is that details will not be viewed unless rights granted to individuals.  They will only see time blocked and a lock.
    • Duration – for long term (vacation)
    • Remind me and tentative

  • Tabs
    • People/Resources tab (more details on groups and resources later)
      • Type part of name and group will come up
      • Type entire name
      • New feature – you can add people who don’t have Corporate Time accounts
    • Details tab
      • Enter additional details about meeting
    • Attachments tab
      • Attach file that can be sent to attendees
    • Reminders tab
    • Reply/Notes tab

  • Other Options
    • Add date
      • Used to add random dates
    • Repeating
      • Used to schedule recurring meetings

  • Once everything is entered select OK.  You will receive a message asking if you want to send the attendees an email.  Select Yes or No.  If you select Yes, you will have the opportunity to add to the message.  You can also add email addresses and select to send yourself a copy.  Select Send.

Responding to Invitation

  • New meetings will show up on your agenda with a question mark in the upper right corner.  You may also receive an email notification.
  • Right click on the event to notate if you will or will not be able to attend.
  • Open the event
    • Select the Reply/Notes tab
      • Mark your response
      • Request another time
      • Add personal notes
  • You can select the People/Resource tab to see who has been invited

Resources

Public or meeting rooms can be added to Corporate Time as a resource.  The resource doesn’t have a separate account, but has to be assigned to one person to manage.  The resource can be added to the meeting by following these steps.

  • On the People/Resources tab select the magnifying glass at the end of the Add box
  • Select the Resources tab
  • Select Search by Resource
  • Resource names typically have the department listed first, so you can enter part of the resource name to narrow the search (for example; OIS)
  • Select the location from the list then select the Add button.
  • Select OK.  This will also add the location to the Location field.

Creating Groups

  • Under Tools / Manage Groups
    • Select New
    • Enter Group Name
    • Private or Members
    • Add Member – enter names
    • Edit or delete an existing group in the same manner
  • To schedule group
    • Select new meeting time or go to File / Open / Group Agenda
    • Select magnifying glass at end of name box
    • Select Groups tab
    • Select Group Type (private, members-only, public) then Search
    • List of groups will display

Open an Agenda

You can view the agenda for anyone set up with an account.

  • Go to File / Open / Agenda
  • Enter the name for the person whose agenda you would like to view.
  • You can schedule meetings with them if the time is open.  You will automatically be added to the meeting.  The option to send an email message will be given.

Open a Group View

  • Open Group Agenda
  • Select attendees by entering their name in the Add box
  • Group Agenda will open with all attendees and times of the day.  The far-left column will have the results of the combined agendas.  Available times are open and unavailable times are red.
  • Set the meeting in the combined column and it will be added to all attendees schedules.  You will have the option to send them an email.
  • If you want to remove someone from the list for viewing, deselect them by removing the check mark form the box by their name.

Tasks

Viewed to the right of the agenda in daily view

  • Open task box
    • Double click on side of daily view
    • Icon – check
    • F7 opens new task screen
  • Enter description
  • General tab
    • Click box to set due date and time
    • Set percentage completed
    • Click box to set start date and time
    • Set Priority and Access Level
  • Reminder tab
    • Select reminders along with type of notification
  • Details tab
    • Add comments
    • Attach file
  • Click OK
  • Edit a task by selecting it and modifying the details

Daily Note/Day Event

Viewed below agenda in daily or weekly view

  • Open daily note box
    • Double click in daily note area
    • Icon –  flag
  • Enter title, date and people to add
  • Follow tabs similar to scheduling an agenda item
  • Edit daily notes by selecting it and modifying the details

Password

  • Change through Tools, Change Password

Setting Options

  • Under Tools select Options – these will be the default settings on the calendar.  However, each entry can be one of the following:
  • Agenda
    • Set display hours, weekends and details
    • Colors – determine how meetings are colored
  • In-tray
    • Designate what is displayed on the In-tray for accepted, sent out and refused entries
  • Entry Defaults
    • Set default levels and reminders for meetings, tasks, daily events and notes
  • Scheduling
    • Set normal hours and determine notifications
  • Offline – use to download your calendar to your computer.  The most current version of your calendar will be on the server.
  • General
    • Formatting of names, date and time and startup  options
  • Click OK.

Viewing Rights

  • Under Tools select Access Rights
  • Designate - Designate rights allow the user to have full access to your calendar.
    • Select Designate tab.
    • Enter the name of the person you would like to have access to your calendar.
    • Highlight the name for which you would like to set rights.
    • Uncheck the box labeled No designate rights and check the box labeled Full designate rights.
    • Click OK
  • Allow Viewing
    • You can allow others to view the details of your entries.
    • Select the appropriate tab. For example, Viewing.
    • Enter the name of the person you would like to have access. 
    • Highlight their name and check the boxes appropriate for the information you want available. 
    • It is important that you leave the Scheduling tab as it is.  If you deselect the Can invite you to Entries option no one will be able to include you on any entry.

Acting as Designate

Once you have been allowed permission to someone’s schedule you can open their agenda.

  • Go to File / Open as Designate
  • The agenda will automatically open or if you have access to multiple agendas a list will come up.  Select the appropriate name.
  • You will be able to work in this person’s agenda.  Anything scheduled will display your name.
  • You can also select Open as Designate / Group Agenda to schedule a meeting on behalf of the individual.

Address Book

An address book is available to keep track of contact information.

Web Version

The Corporate Time calendar also uses a web client, so it can be viewed from anyplace you have internet access. Follow the instructions below or click here.

  • Enter through the GUS/Logins link on the black bar at the top of any PSU web page
  • Click on Corporate Time
  • Enter your name and password
