Inclement Weather Codes


NOTE:  These codes do not apply to employees on leave without pay or faculty.  Faculty will be paid their regular salary regardless of the impact of the declaration on their classes.  Faculty should, however, report the use of sick leave if taken and reportable for the day(s) of the Inclement Weather declaration.

 

Inclement Weather Pay for Non-Essential Employees

These codes provide pay for hours not worked during an employee's regular work schedule as designated by the time frame set by the University President in the Declaration of Inclement Weather.

  1. Non-exempt, non-essential employee who report to work will use the appropriate earnings code(s) for time worked (e.g. REG, CME, OTP) prior to the time the University closes.  The time remaining in their regular shift that falls within the time period the University is closed is reported with the IWN code.  IWN is reported in 15 minute increments.
  2. Non-exempt, non-essential employees who did not report to work for their regular work schedule must use the appropriate type of leave (e.g. VAC, SCK, CMT) for time prior to the time the University closes.  The time remaining in their regular shift that falls within the time period the University is closed is reported with the IWN code.  IWN is reported in 15 minute increments.
  3. Exempt, non-essential employee who report to work will use the IWE code only if there is at least a half-day (generally 4 hours) or full-day (generally 8 hours) that falls entirely within the time the University closes during the employee's regular work schedule.  IWE is reported in half-day or full-day increments only. 
  4. Exempt, non-essential employees who do not report to work for their regular work schedule must use the appropriate type of leave (e.g. VAE or SCE) for time prior to the time the University closes in half-day or full-day increments.  The time remaining in their regular shift that fell within the Inclement Weather period is reported with the IWE code but only if the University is closed at least an entire half-day or full-day of the employee's regular work schedule.  IWE is reported in half-day or full-day increments only. 

 

Inclement Weather Comp Time for Essential Employees

ICE Unclassified Exempt, Biweekly Paid Employees

 

These codes provide comp time for essential employees.  The supervisor designates which employees are essential for purposes of the Inclement Weather Policy.  Comp time is earned (hour per hour) for time worked during the period of Inclement Weather as declared by the President.

Non-exempt, essential employees may also be eligible for overtime compensation (OTP - pay or CME - comp time) if hours worked exceed 40 per week. 

  1. Non-exempt, essential employee who report to work will use the appropriate earnings code(s) for time worked (e.g. REG, CME, OTP) for total time worked.  In addition, the employee will report the total time worked that falls within the time period the University is closed is reported with the ICN code.  ICN is reported in 15 minute increments.
  2. Non-exempt, essential employees who did not report to work for their regular work schedule must use the appropriate type of leave (e.g. VAC, SCK, CMT) for their entire regular work schedule.  They are not eligible for Inclement Weather pay (IWN) or Inclement Weather comp time (ICN).  
  3. Exempt, essential employee who report to work will use the ICE code for the total time worked that falls within the time the University is closed.  ICE is reported in 15 minute increments.    
  4. Exempt, essential employees who do not report to work for their regular work schedule must use the appropriate type of leave (e.g. VAE or SCE) for their entire regular work schedule.  They are not eligible for Inclement Weather pay (IWE) or Inclement Weather comp time (ICE).

Non-exempt and exempt employees will use the code ICT to use Inclement Weather comp time.  Non-exempt employees use the ICT code in 15 minute increments.  Exempt employee use the ICT code in half-day or full-day increments only.
